Use Copilot in Teams to Generate Compliance Meeting Notes and Action Items

Tools: Microsoft Teams with Copilot | Included in Microsoft 365 Business Standard or higher with Copilot license Prerequisites: Meeting must be recorded or transcribed in Teams; Copilot enabled

What This Does

Copilot in Teams automatically transcribes your meetings and lets you ask questions about what was discussed — generating formal meeting minutes, extracting action items, and summarizing decisions. For compliance managers who run compliance committee meetings, audit reviews, and cross-departmental policy discussions, this eliminates manual note-taking and the post-meeting documentation burden.

Step-by-Step

During a compliance committee or team meeting

  1. Start your Teams meeting
  2. Click More (•••) → Record and transcribe → enable transcription
  3. Run your meeting normally — Copilot captures everything
  4. After the meeting ends, Copilot automatically generates a meeting summary in the chat

After the meeting: Generate formal minutes

  1. In the meeting chat, click Copilot (the sparkle icon)
  2. Ask:
    Prompt

"Write formal meeting minutes for this compliance committee meeting. Include: date, attendees, agenda items discussed, decisions made, and action items with responsible parties and due dates. Format for distribution to the full compliance committee."

  3. Copilot generates draft minutes from the transcript
  4. Copy into Word → review and edit → distribute

Extract action items only

  1. In meeting Copilot, ask:
    Prompt

"List all action items from this meeting. Format as a table with: action item, responsible person, due date, and priority."

  2. Copy the table → paste into your compliance tracking spreadsheet or email to the team

Catch up on a missed meeting

  1. Open the meeting in Teams → click the Copilot tab
  2. Ask:
    Prompt

"Summarize what was discussed and decided about the HIPAA risk assessment in this meeting." "What follow-up is required from our department based on this meeting?"

  3. Copilot summarizes the relevant portions of the transcript for you

Draft follow-up communications

  1. After meeting Copilot summarizes the meeting, ask:
    Prompt

"Draft a follow-up email to all meeting participants summarizing the key decisions and action items. Include each person's specific responsibility."

  2. Copy → paste into Outlook → send

Best Prompts for Compliance Meetings

For compliance committee meetings:

Prompt

"Write formal minutes for this meeting. Include: quorum confirmation, items discussed with brief summaries, votes taken (if any), findings reported, corrective action updates, regulatory updates discussed, and all action items with owners and deadlines."

For audit debrief meetings:

Prompt

"List all audit findings discussed in this meeting. For each finding: description, risk rating, proposed corrective action, responsible party, and target date."

For cross-departmental compliance meetings:

Prompt

"Summarize the compliance requirements that were communicated to each department in this meeting. List what each department agreed to do and by when."

For regulatory update briefings:

Prompt

"What regulatory changes were discussed? What actions did we decide to take, and who is responsible for each?"

For one-on-one coaching sessions:

Prompt

"Summarize the key discussion points and any commitments made in this conversation."

Real Example: Monthly Compliance Committee Meeting

Before Teams Copilot: You take handwritten notes during a 90-minute compliance committee meeting, then spend 45–60 minutes after the meeting typing formal minutes, formatting action items, and sending follow-up emails.

After Teams Copilot:

  • During the meeting: enable transcription, run meeting as normal
  • After the meeting: 15 minutes editing Copilot-generated minutes
  • Total: 15 minutes post-meeting vs. 60 minutes previously

What the output looks like:

Prompt

Limitations

  • Meeting must be recorded/transcribed in Teams — in-person meetings without transcription won't work
  • Copilot requires a Microsoft 365 Copilot license (separate from standard M365 subscription — check with your IT department)
  • AI-generated minutes require human review for accuracy, especially for complex regulatory discussions where nuance matters
  • Some participants may need to consent to recording — check your organization's recording policy

What to Do Next

  • Today: Enable transcription on your next compliance team meeting and let Copilot generate the summary
  • This week: Compare Copilot-generated minutes against your manual notes — assess accuracy
  • This month: Make transcription your default for all compliance committee and audit review meetings; build a standard "minutes request" prompt for your recurring meeting types
